Sending Leak Alerts
Once results have been generated within the first leak report, the option to send alerts will become available.
To open the Send Alerts Management page, select “Send Alerts” located at the bottom of the report results.
This will cause the page to navigate to the “Alert Notifications” page.
The Alert Notifications report allows the user to manage and send a batch of notifications to selected customers through one of three separate notification channels – Email, SMS, or Letter.
To list all available customers, complete the following parameters as desired, then select “Next”. Alternatively, you can select “Cancel” to return to the previous report.
Search Parameters
- Alert Mode: Determines who notifications should be generated for.
- Property Owners: Customers who own the property with a current leak. Notifications will be specifically addressed to each owner by name.
- Non-Owner Residents: Residents of the property with a current leak who do not own the property. Notifications will be addressed as “The Resident”.
- No Notifications After: Excludes properties where notifications have been sent after the specified date.
- Maximum Notifications: The maximum number of past notifications a property can have received that relate to the current leak before it is excluded. This parameter can contain one of three options.
- Include all notifications
- Exclude x notifications or more
- Exclude properties with less than x notifications NOTE: “x notifications” represents the changeable “leakReportMaxNotifications” constant in the site system constants.
- Exclude Public Registration: Include/Exclude meters where a registration has been set through the public facing site.
- Notification Preferences: List the order in which notifications will be sent. For example, if the user selects preference 1 as Email, preference 2 as SMS and preference 3 as Letter, then the report will first attempt to send an email, if unsuccessful, an SMS, or a Letter, depending on the availability of an SMS number.
- Standard Template / Shared Meter Template: These buttons allow you to view the currently loaded template for the selected preference. There are two types of templates for each preference, Shared Meter, and Standard.
- Shared Meter: This template is used whenever the meter is part of a shared network.
- Standard: This is the general template used for a property without a shared meter network.
Once all desired parameters have been entered the report can be initiated by clicking ‘Next’. A list of properties and their associated owners will be shown.
For each row of the report, the user can specify the channel through which a notification should be sent (Email, SMS, Letter). Specific properties can be excluded from notifications by checking the exclude checkbox. Note, if a property has more than one owner, all owners will be shown as separate rows.
During report generation however, if each owner has identical contact information, notifications will be merged, addressing owners together. For example, if a husband and wife own the same property and have identical mailing addresses, then only one leak letter will be sent to the address, including both owner names in the letter’s address. This is also the same for Emails and SMS’s. If two owners have the same mobile number or email address, the notification will be merged and sent to the shared point of contact.
When all notification channel parameters have been set, selecting “Send Alerts” will open a confirmation modal.
After confirming generation, you will be redirected to a Generation page, providing details on the progress of generation.
The generation progress window can be closed at will as all notifications will be generated in the background. Notification notes will be assigned to the related accounts on generation.
Batch Printed Leak Letters
To view notification letters generated through the leak report process, select “System Configuration” from the MiWater home page, then select “Batch Printed Leak Letters”.
